Guidelines for Using Student Affairs to Send Campus-Wide E-mails

In an effort to reduce the number of campus-wide e-mails distributed by Student Affairs, the following policies and guidelines have been enacted.

  • · E-mail requests must be submitted by a recognized student organization or student representing a department/ academic program.
  • · Requests must be submitted no later than 5:00 pm Wednesday the week before the e-mail is to be sent. All requests submitted by 5:00 pm Wednesday will be compiled and e-mailed in one collective message the following Monday. Only in the case of a campus emergency will a message be sent alone and separate from the weekly message.
  • · Requests must contain the following information (those not containing all required information will not be included in Monday’s campus-wide e-mail):
    • · Title: Be specific, concise, and catchy - this may be all students see in their inbox.
    • · Category: Announcement, Event, or Deadline.
    • · Content: The bulk of the message content, spell checked, grammar checked. Cannot exceed 3,000 characters.
    • · Sponsoring Organization: Indicate the campus organization or unit sponsoring the event.
    • · Link: Provide a complete url where students may find additional information, if applicable.
    • · Contact Information: Include the name and e-mail address of an individual students may contact for additional information.
    • · Submitter Information: Your name, e-mail address, and phone number (this will not be made public to students).
  • · Messages must be strictly related to university matters, concerns, operations, events or other items of interest pertaining to university related activities, students, faculty and staff. Specifically, no commercial business or politically motivated information may be sent to students.
  • · Content must be consistent with existing university policies governing conduct of members of university community.
  • · Content may not be purely personal nature such as classified advertisements or other similar solicitations.
  • · Ongoing information on regularly recurring campus events may not be posted more than twice per semester.
